Executive Administrative Assistant III - Human Resources
This position is based in our Indianapolis, IN office.
We have a fantastic opportunity to join our dynamic Human Resources team as the Executive Administrative Assistant to our Chief Human Resources Officer (CHRO). In this role, you will partner closely with our CHRO to ensure that their office is efficient, moves at the speed of the business, and is responsive to our associates, leadership team, and external partners. This is a critical role and we are interested in speaking to individuals who have not only have lived in the executive support world, but can’t imagine themselves anywhere else! Primary duties may include, but are not limited to:
Manage day-to-day complex schedules in such a way that the executive is able to complete their obligations and action their priorities in an organized, efficient way
Take into consideration calendar priorities based on both professional and personal priorities
Coordinate internal and external meetings including but not limited to team meetings, off-site meetings, one-on-one meetings, conferences, town halls, etc.
Book appropriate travel within travel policy taking into account costs, schedules, travel time and personal time between meetings
Manage the team meeting calendar, understanding potential conflicts with enterprise activities
Proactively coordinate all executive engagement, correspondence and interactions
Manage follow up on all executive meetings
May act as a Meeting Recorder-summarizing action items precisely.
Partner with peers and direct reports of the executive to manage cross-functional initiatives from conception to completion
Partner with the other department Executive Assistants to ensure clear communication and alignment between the CEO and all of our senior leadership
Create, maintain, and edit presentations, documents, and spreadsheets for meetings
Submit accurate expense reports in a timely manner adhering to policy.
Assist in expense management for team and for events
Assist in overseeing budget and procurement activities
Conducts more complex research to assist executive with inquiries or issues.
Coordinate all logistics for department events and meetings
Responsible for securing requested information and compiling various reports and analyses.
Performs advanced, diversified and confidential administrative duties requiring broad and comprehensive skill and knowledge of organization policies and procedures
Conducts more complex research to assist executive with inquiries or issues
May assist with training of staff
Other administrative duties as requested
Your Building Blocks of Success
Requires GED/HS diploma
10 years of experience; or any combination or education and experience which will provide an equivalent background.
Requires 6+ years experience providing direct support to senior executives.
Proficient in Microsoft Office Suite with advanced experience in Microsoft Outlook, to include maintaining full calendar responsibilities of the executive.
Must be technically savvy with ability to learn new software programs, HR technology and manage the audio/video technology for virtual meetings.
Experience in a Human Resources department is a plus
Reputation for anticipating needs, initiating ideas, and providing solutions - not just delivering on what is requested.
Demonstrated proactive, strong analytical and problem-solving skills; high attention to detail and organization
Expertise in handling sensitive and confidential information requiring a high level of discretion.
Self-starter attitude while working on multiple assignments in a fast-paced environment
Exceptional communication skills with diverse personalities
